Terms and Conditions

Few key points (summarized for quick read)
    50% advance to be paid for To Wed Stories to block dates for your event.
    A minimum of 60 minutes is dedicatedly required for the photographer to capture images of the getting ready ; usually      after 80% of the make-up is over.
    40% balance to be paid before or within 48 hours after the event.
    Color corrected pictures will be sent in 20 working days from the date of receiving the balance 40% payment.
    Traditional video (if booked) will be delivered in 45 working days.
    Candid video (if booked) will be delivered in 45 working days** ; from the date of  receiving the song list.
    Documentary wedding film (if booked) will be delivered within 90 working days from the date of event completion.
    The raw files of both photos and videos will not be shared Only the Traditional Photos Will be shared at the final              delivery
    Once the client has selected the photos, the album process will begin, and the digital copy will be sent within 30 days.
    Unless specified in the quote and final deliverables about an all inclusive package, Three star and above air                    conditioned private accommodation / air conditioned private rooms in the wedding venue ( one room for every two            crew members ) will be booked by our  production team for all the crew members by default if the events are starting        on or before 7am in the morning and is continuing post 10pm at night, nevertheless the location/city of the event.
    Accommodation for the crew must be mandatorily given in case the location is more than 25 kms - 30 kms from the          city.
    This should be reimbursed by the client along with the balance payment after the event. The accommodation will be        booked accessible for the crew (within one km from the venue) throughout the shoot for them to copy files and                manage equipment safely.
    In case of outstation events, transportation must be provided by the client from the accommodation place to the                venue. In the case when the client has availed an all inclusive package that includes travel and accommodation, the        client will have to take care of the local travel for the crew members.
    Pre-event consultation with To Wed Stories’s team and crew members must be availed in-person or remotely via an        online meeting /  video call by the client at least 20-30 days in advance from the date of event.
    Additional albums that require fresh designs and which are not included in the package will incur a cost of INR 25000/-    per album
    For duplicate copies, it would cost INR 20,000/- per album
Sales
Onboarding &  Bookings

The Client hereby agrees to remit to To Wed Stories monetary consideration for the performance of the services (the “Fees”) in the following manner:
a) 50% of said fee shall be paid as advance to To Wed Stories. The Client understands that only if the payment is made well in advance, within the time limit prescribed by To Wed Stories, shall To Wed Stories block the calendar dates solely for rendering the Client’s services.
b) 40% of said fee must be paid before or within 48 hours of the conclusion of the event. Only after the payment is done, the post production work (photo processing and video editing) would start.
C) 10% of the total fee is to be paid once you approve the digital copy of the album. The print process will only begin after the payment is received.
All prices quoted to the Client apply only to the original job description and specifications given to To Wed Stories by the Client. Any change or additional services requested by the Client shall entail additional charges. To Wed Stories reserves the right to determine the extra charges applicable for the services requested by the Client.

Traditional Photography & Video - Crew members

Crew members can be, not limiting to, opted according to the below listed recommendations:
Reception : 500 guests
We recommend a minimum of one traditional photographer and one traditional videographer*
Reception : 1000 guests
We recommend a minimum of two traditional photographers and two traditional videographers
Wedding : 1500 guests
We recommend a minimum of three traditional photographers and three traditional videographers
Note: To Wed Stories strongly recommends that you add one traditional photographer and one traditional videographer each for every 500 guests.
* The client agrees that if only one traditional photographer and one traditional videographer is booked, the crew members will be covering the stage area only.

Candid cinematography/Candid video

Candid cinematography or candid video is a unique service offered by To Wed Stories. The quality, creativity and final output of the film will be wholly different when compared to the traditional video's output.
The client agrees that the traditional video output cannot be compared to the candid video's output and the client will have to book this service as an add-on for a creative output.

Price List

The Price list, Brochures or any other promotional material that indicates the price for the services provided by To Wed Stories are merely illustrative in nature. The prices contained therein are subject to change without prior notice being given to the Client.
The Standard Service provided by To Wed Stories does not guarantee that a particular photographer / cinematographer / photography team shall be allotted the assignment of a Client. The assignment may be given to any member and associate of To Wed Stories.
The standard service provided by To Wed Stories is not inclusive of a rush service. A rush service may be provided upon request, subject to availability, and additional charges as determined by To Wed Stories shall apply in such a case.
Refund for delays from To Wed Stories side
If there is any delay from the To Wed Stories for delivering the deliverables within the said date to the  client, a refund of INR 500/- per additional day taken from the deadline dates given  to the client shall be made by the To Wed Stories to the client. However, if the delay is from the client's  end, there will not be any refunds.
A prior notification about the delay from the To Wed Stories to the client shall be intimated during the post production process. However, if To Wed Stories fails to adhere to the postponed date, the entire extended duration will be considered for calculating the refund. The situation will be analyzed before the refund is made.
Refunds for delays will not be given during situations of a pandemic, public emergencies, national disasters, civil unrest, fire, explosion, floods, storms, earthquakes, subsidence, acts of terrorism, acts of war, governmental action, epidemic or any other natural disaster or any other event that is beyond control of the parties.

Production

Event Details Form

The client agrees to provide the exact event details with maximum information as per To Wed Stories’s requests 45 days in advance of the event date.
The client agrees that To Wed Stories requires at least 40 days to plan and schedule the shoot which also includes assigning a proper team for the shoot.
The client agrees that no refunds will be issued for any specific events that are canceled once the event details form is filled. However the client has the option to postpone or reschedule the events to some other date.
The client agrees that if there is a delay in providing the details as per To Wed Stories’s request, To Wed Stories cannot guarantee the best of services to the client.
Event Guide, Point of Contact & Cooperation

The client will be responsible for (or have someone designated for this responsibility) identifying people/objects of whom/which specific photographs are desired. To Wed Stories will not be held accountable for not photographing or filming desired people if there is no one to assist in identifying or gathering people for the photograph(s).
The parties agree to provide positive cooperation and communication for the best possible result within the definition of this assignment. To Wed Stories is not responsible for key individuals’ failure to be present or to cooperate during photography sessions, nor for missed images due to details not revealed to To Wed Stories.

Mode of Communication

All team members of To Wed Stories would be conversing only via Whatsapp to clients.

Office hours: 11am(IST) to 7.00pm (IST), Monday to Friday.
All our support lines across all departments including production, post production, server, album design etc. will be closed on weekends.

Pre-event consultation

The client agrees to a pre-event consultation before the wedding date in order to discuss and finalize the requirements and understand the expectations of the client.
It's mandatory that the client meets the crew members virtually via a meeting link /  video call / in-person, in advance before the actual event in order to discuss possibilities and bridge the gap between expectation and reality.  This also applies to the  clients who have booked the candid video / wedding film service where the client will meet with To Wed Stories’s crew members via Video call and discuss shots, creative frames, and music well in advance before the event.

Travel And Accommodation

Unless specified in the quote and final deliverables about an all inclusive package, for all shoots outside Chennai city limit, travel and accommodation costs on actuals will be booked by To Wed Stories and reimbursed by the client. To Wed Stories's crew members would prefer to travel via economy class flight to locations outside Chennai. For locations where there are no airports, the crew would travel by A/C Sleeper Bus / or an SUV that has passed safety crash tests. Local AC transportation will be reimbursed by the client. The client will have to reimburse for the arrangements made to and fro transportation that's comfortable for the entire crew to keep all their equipment also, from the airport  / bus stand.

Add-ons

Add-ons if any should be communicated at least 30 days before the event and are subject to availability. Requests made beyond the said time will not be processed.
(Note: The client understands that the output of the wedding deliverables relies totally on how the client, their families and friends cooperates with To Wed Stories, not limiting to time, but also the freedom to shoot and proactiveness from everyone.)

60-120 Minute Window For Photography/Video
The bride and/or groom agree to set aside a suitable amount of time for photography before the commencement of the wedding ceremony and afterward for photographs that cannot be obtained during the ceremony or reception. Following the ceremony, time should be allowed for any photographs including group photographs if desired. If either the bride’s or groom’s late arrival (or any other reason outside of To Wed Stories’s control) prevents suitable time from occurring, To Wed Stories shall not be held liable for failure to take desired photographs. A total of 60-120 minutes should be allowed, this can be flexible and dependent on suitable weather conditions can be taken in short sessions throughout the shoot duration (one session is five hours) at times agreeable mutually by the client and To Wed Stories.
These include photographs like,
         Directed candid photographs
         Getting ready shots - Minimum 60 minutes is required after 80% makeup is complete
         Makeup and hairdo
         Romantic, funny photographs
         Concept shots.
    Outdoor Couple Shoot

The outdoor couple shoot (if any or if it was mentioned in the quote) will be of two to four hours duration (or as per the final quote provided to you) and on non-blackout dates. The same will not be applicable when there is a government holiday and on all weekends (Saturday and Sunday) as well.
In case if the client needs the same to be in a resort or any other place that involves photography charges, the client will have to bear the cost. The client will have to get all the necessary permissions and approvals well in advance before the shoot from venues that require the same.
It is to be noted that a minimum of 20 days notice has to be given for availing the shoot and its subject to To Wed Stories availability.

Outdoor Shoot - Blackout Dates

To Wed Stories will not be able to provide the outdoor shoot service across all Muhurtham dates throughout the year.
Validity to avail the outdoor shoot
The outdoor shoot has to be availed within 90 days of the event completion. For clients not availing the outdoor shoot within 90 days.

Exclusive Couple Shoot (If booked separately)
For exclusive couple shoots that are booked separately; not as a part of the wedding package, the duration would be mentioned in the quote given to you.
In case the same is happening outside Chennai city limits, the travel & accommodation for the crew member(s) has to be borne by the client. To Wed Stories will book the travel & accommodation which will be reimbursed by the client.
The standard outdoor shoot provided by To Wed Stories does not guarantee that a particular To Wed Stories photographer shall be allotted the assignment of a Client. The assignment may be given to any member and associate of To Wed Stories. In case a request is made for a specific To Wed Stories photographer, additional premium charges will apply.

Specifications And Details

To Wed Stories endeavors to ensure that all specifications as to the images and videos, including without limitation color and size of images provided by To Wed Stories are correct and accurate. However, the Client acknowledges, agrees and understands that these specifications are approximate in nature and are subject to variation.

The Client agrees that To Wed Stories will try and deliver the best possible output matching those photographs/videos on To Wed Stories’s website / and blog, Instagram or Facebook Page, and that To Wed Stories will have complete creative control during the photography and in post-processing the images/videos.
The Client also agrees that, To Wed Stories’s work cannot be exactly the same as it is on To Wed Stories’s website and blog or Facebook page or Instagram feed as every wedding venue, lighting, decoration, ambience, client’s cooperation, audience cooperation, situations, attire color and the overall atmosphere plays an important role for To Wed Stories to click the best pictures.
To Wed Stories or the post production team will not edit any physical size, hair, nor any other physical appearance issue other than minor skin blemishes. We will not be doing any retouching work on any of the images.
The Client agrees that it may not be possible for To Wed Stories to be at every place in a wedding and that there may be certain moments that are not photographed and videographed although full efforts will be made not to miss anything.
To Wed Stories shall capture candid images during the events. To Wed Stories shall make reasonable efforts to capture requested images, but is unable to promise/guarantee specific photographs/videos.

Non-guarantee

Although every possible care will be taken to produce photographs of all important and special events during the wedding, To Wed Stories cannot place an unconditional guarantee on the above. To Wed Stories will not be held responsible for any ruined photographs due to guests’ (or any other) flashes; or any other ruined photographs due to any other cause in or outside of To Wed Stories's control.

No Refund Policy

No claims for refund shall be entertained under any circumstances, irrespective of the grounds on which the refund is claimed, including pandemics and epidemics, once the fees/payment has been made to To Wed Stories. This applies to situations like clients canceling or postponing the wedding event and not rescheduling the same to another date.
However, during such circumstances, the client can avail To Wed Stories's services at any point of time in the future. Prices of To Wed Stories's services will vary and change at any point of time and the value of the service for which the client has paid the fees/advance/money will also vary. The client also has the option to transfer the order to a friend or relative who may have events coming up.
However, If To Wed Stories is unable to perform the services in this contract / or canceling the service from its side, due to any cause outside its control, client agrees to indemnify To Wed Stories for any loss damage or liability; however, To Wed Stories will return the full payments made by CLIENT to in relation to their SHOOT within 90 working days.

Copyright And Other Proprietary Rights

The copyright in the images, videos or any other proprietary rights in any material which forms a part of the deliverables given to the Client shall stand vested in the Client on the full payment being made by the Client to To Wed Stories. The proprietary rights in any other intellectual property that is produced during the course of the engagement of To Wed Stories with the Client as a result of such engagement shall vest solely with To Wed Stories.
Notwithstanding anything contained in the above paragraph, To Wed Stories reserves the right to use any such image, video or other material for the purpose of marketing, promoting and endorsing To Wed Stories’s services.
To Wed Stories reserves the right to retain the deliverables, and to revoke any license related to the use of the deliverables until the full payment has been made to To Wed Stories under the terms specified herein.
To Wed Stories's marketing team will consider using the images and videos of clients for marketing purposes by default. The client will not be informed before the images and videos are used.
Social Media And Online Privacy/Security

All the pictures/videos that we post online will retain our watermark. However, To Wed Stories as a company, or any of its Owners, Employees, Top Management, Vendors and Associates will not be responsible for any external or third party or public misusing the client’s pictures or videos. While we might take legal action on the same once we get a report, we will not claim responsibility for the same.

Post-Production

Client Dashboard

To Wed Stories will be providing the client with a dashboard which would be a primary tool to share the links of photographs and videos. The dashboard will also showcase all details regarding the client's bookings, and account manager information.
To Wed Stories will not be responsible for any communication or approval delay from the client's side. As per the terms and conditions,
The quote will no longer be valid beyond 90 days of the event completion and To Wed Stories reserves the right to determine the extra charges applicable for the services and deliverables on actuals.
All raw and processed/edited photos and videos will be deleted from the server after 90 days without notice.
Point of Contact

The client will have to assign one point of contact who will be the decision maker for all deliverables. To Wed Stories will only communicate to the assigned point of contact so that there is no confusion and discrepancy in deliverables.
To Wed Stories shall not be responsible for any confusion or miscommunication and delay due to this that happens from the client's side, which leads to errors in deliverables or edit style, song preferences, picture selection, cover style, number of albums etc.

Photos, Albums, Videos and Films - Timelines For Delivery

If the 40% payment or full 100% + travel and accommodation costs (if any) + add-on costs (if any) + additional session charges (if any)  is paid by the client within 48 hours of conclusion of event,
                The color corrected pictures shall be made available to the client within 20 working days from the date of                          payment.
What we provide in our service,
     Cropping and Straightening
     Setting the White Balance, Vibrance and Saturation right
     Exposure and Contrast Adjustments
     Lens Correction
     Sharpening & Noise Reduction
     Variations in color and black and white for few images
What we do not provide in our service,
     Retouching in all forms
     Removal and changing or improving the  background
    Editing / manipulation of physical size, hair, nor any other physical appearance issue including whitening of eyes              and/or teeth, bags under eyes, dark circles etc.
You'll be able to request the following changes / iterations only ( subject to practical possibilities )
     Tone, Vibrance and Saturation
     Exposure and Contrast Adjustments
     Variations in color and black and white for few images
     The traditional video, if booked, will be delivered to the client within 45 working days from the date of providing the           song list(9 weeks).
The duration of the traditional film totally depends upon the duration of the rituals / ceremonies of your event. For example, on an average,
    Engagement : 30-40 minutes
    Reception & Wedding : 45-90 minutes
Songs once selected, cannot be changed without a fee. You can change the song / music track for the candid film by paying a nominal charge of INR 5000/- We'll need an additional 15 working days to rework on the film with the new song.
You can make upto two iterations in the traditional film, after receiving the first draft.

Reducing length
Increasing the speed / slow motion (subject to various factors ; only if possible )
Candid Video/Cinematography The duration of the candid film would be about 2-5 minutes, based on  the event style, rituals, ceremonies and also for how many events you'd opted for the candid film service.
You can make up-to two iterations in the candid film, after receiving the first draft. Iterations can be:
Swapping clips / sequences (subject to song / music track and possibility)
Basic color correction
Title style change / font change
Addition of clips (subject to availability)
Removal of clips
Reducing length
Increasing the speed / slow motion (subject to various factors ; only if possible )
Documentary Wedding Films if applicable or booked additional  will be processed and delivered within 90 working days (18 weeks) from the conclusion of the event. However, a deadline will be given to the client, depending on the second payment date or full payment date. The duration of the documentary film would be about 7-15 minutes, based on the event style, rituals, ceremonies, interview bytes and also for how many events were captured in the documentary style.
In cases where the scope is minimal to produce a documentary film during the post-production process, we would provide the interview bytes that were captured during the event as a video.
Reels / short teasers will not be provided in the standard package and will be charged additionally, unless it is specifically mentioned and added in the quote.
Combining multiple events after the post-production process and producing a single candid video / full length candid video is  not covered under the scope of the standard package and will be charged additionally, unless it is specifically mentioned and added in the quote.
Album Process 

To Wed Stories will send files to the album print only after the final 10% payment
We only design western style minimalistic albums with white and black backgrounds. We believe in designing clean and aesthetic albums. As a policy, we strictly do not deviate from our designs.
Pictures for the Album / Photobook
The client can select up-to 200 pictures per photobook / album from the list of pictures that were color corrected only. It can be a mix of multiple events as well.
The number of albums committed by the business manager in the final quote stands final. In case the client requires an additional number of albums, the post production manager must be informed about the same and additional charges would apply, on actuals.
Additional albums that require fresh designs and which are not included in the package will incur a cost of INR 25000/- per album
For duplicate copies, it would cost INR 20,000/- per album
Number Of Iterations/Modifications

The client will have to select the desired pictures for the album only once and those images would be treated as final for the same. If the client prefers to modify the selected pictures by adding or removing pictures after the first draft of the album is designed ( Note: The client is allowed to make two iterations on the first draft of the deliverables consisting of photographs), the subsequent iteration will be chargeable at INR 5000/- + taxes per new selection of pictures. The same applies to the album style as well.

Original Files

The original files (raw files) will be shared through a Pendrive to the client. 

Communication & Reminders

While To Wed Stories will take efforts to remind clients via the customer portal, we expect the client to be proactive in getting the deliverables from To Wed Stories by cooperating with the team with the following,
            Music for traditional videos and wedding films (if booked)
            Selected pictures for the photo-book
            Approving drafts and other feedback
            Getting the albums and videos
            Downloading files
            Responding to all our emails / information on dashboard
            Responding to all our sms and calls
            Providing feedback then and there
            All payments.
            Feedback

To ensure the highest quality of service and to help us solve your issues and queries as soon as possible, the client will have the "Production" feedback form immediately after the event is over and the "General" feedback form after every deliverable or service is provided. Both the forms are mobile friendly and the links will be sent to the client well in advance.
To Wed Stories will not take responsibility for production related issues/difficulties faced that are not being told within 48 hours of the issue / situation or problem. The company can take immediate action to resolve the issues only when it's told within 48 hours.

Code Of Conduct

During the course of To Wed Stories’s assignment during the event and after the event is complete ( post production process and other interactions ), the client or any person associated with the client shall not behave in a manner that hinders or deters the performance of the services by To Wed Stories. In case To Wed Stories feels that he is in any manner restricted from performing his duties to the fullest extent due to the actions of the client, or any person associated with the client, To Wed Stories reserves the right to unilaterally cancel the assignment. No claims of refund shall be entertained in the event of such cancellation.
To Wed Stories's team will not tolerate verbally or physically abusive behavior, nor will it share its time or compete with guests for the attention of the subjects. Unchecked guest conduct that interferes with photography may seriously affect the quality of the photographs taken and increase the number of times photos must be retaken. If THE CLIENT is unable to control the conduct of their guests, resulting in an unacceptable degree of misconduct, or if the conduct of any of their guests damages the equipment of To Wed Stories, it will result in the early or immediate departure of To Wed Stories.
To Wed Stories's crew members will also not take pictures from the mobile phones / cameras of guests attending the event.

Force Majeure Event

CLIENT agrees to indemnify and hold harmless To Wed Stories for any liability, damage, or loss related to technological failure and accidents of all sorts. Cameras, hard drives, and memory cards are subject to technical failure. To Wed Stories will take reasonable steps to prevent data loss, but is not liable for loss of data due to technical failure.
To Wed Stories shall not be liable for any claim arising out of an assignment if an event, force major, occurs, making impossible or delaying the delivery of the goods or services and putting the same out of the scope of our reasonable control; such events may include but not be limited to power failure and power fluctuation, internet service provider failure, industrial action, or any other natural disaster or any other event that is beyond control of the Parties.
If, for any reason within our reasonable control, To Wed Stories fails to deliver the agreed-upon goods or services, you (our valued CLIENT) shall be entitled to a refund. However, this refund policy only applies if we fail to send crew members for the event. lose the footage or experience a technological failure. We want to emphasize that this is a rare occurrence and has never happened in the past, but we want to make sure that you have peace of mind knowing that you're covered if it does happen.
If this unlikely situation does occur, you will be entitled to a refund equivalent to the portion of the fees paid that corresponds to the undelivered portion of the assignment. We understand that your time and money are valuable, so we want to make sure that you're protected in the best way possible. We also want to reiterate that this is the only remedy available to you in this situation, and you are waiving any other right or claim against To Wed Stories in connection with the failure.

Disclaimers &  Loss Of Data

While we will try our best to provide you with the best possible photographs and videos, you understand that there certain events beyond our control may occur, such as, but not limited to, technical fault including memory cards getting corrupted, accidents or all sorts, or equipment malfunction that could lead to loss of data that may result in loss of photographs or video footage.
We take all precautions to prevent this from happening and we also back-up and store data. Additionally, we also maintain our equipment by using the best practices in our field, to prevent any malfunction. If such an event were to occur, we will try our best to retrieve as much data as possible. However, you understand that, despite our best efforts, there may be instances where some or all data may be lost and cannot be retrieved.
If such an unfortunate event were to occur, you understand and agree that we are not responsible for such loss and shall not be liable in any manner for any damage or loss suffered as a result of occurrences beyond our control.
Indemnification
The Client agrees to indemnify and hold harmless To Wed Stories  and their subsidiaries, agents, licensors, managers, and other affiliated companies, and their employees, contractors, agents, officers and directors, from and against any and all claims, damages, obligations, losses, liabilities, costs and expenses (including attorney's fees) arising from, related to, or in any way connected with, or resulting from the assignment that To Wed Stories is engaged for, including any such claims which allege negligent acts or omissions on the part of “To Wed Stories ”.

General Release And Waiver Of Claims

The Client hereby remiss, release and forever discharge To Wed Stories, his Agents, Owner's, Servants, Successors, Heirs, Executors, Administrators, or personal representatives of and from all, and all manner of, actions, causes of action, suits, proceedings, debts, dues, contracts, judgments, damages, claims, and demands whatsoever in law or in equity, which the Client ever had, now has, or which the Client’s heirs, executors, administrators, or personal representatives hereafter can, shall, or may have for or by reason of any matter, cause or thing, whatsoever arising out of this Agreement; or in any way arising out of the relationship arising out of the Client and To Wed Stories.
